In all the positions you will be representing Capital Pride: You will be serving as a representative of Capital Pride and and are expected to maintain a positive and professional demeanour while interacting with festival attendees, vendors, and volunteers.

Accessibility Team Lead

Description

The Accessibility Team Leads will advise Capital Pride on ways to make the festival more accessible. They will assist in taking accessibility notes about our events which will be published on our website. Finally, they will be helping Capital Pride to respond to any accessibility concerns on the weekend of the festival.

Key Activities:

  • Research venues in the city where Capital Pride hosts events, and create detailed notes on accessibility of the space.
  • Attend regular meetings with other members of the accessibility team and Capital Pride Staff.
  • Give Capital Pride feedback on accessibility at the Festival and suggestions for improvement.
  • Act as a point of contact for the general public on the weekend of the festival to hear concerns about accessibility, and relay them to Capital Pride staff. 

Requirements: Either identify as being a person with a disability, and/or have experience with assisting people with disabilities.

Time Commitment: 5-10 hours in June/July/August. August 23rd evening, August 24th and 25th all day.

Fundraising Team Lead

Description

The Fundraising Team Leads help to ensure the success of Capital Pride’s fundraising initiatives during the course of the festival.

Key Activities:

Coordinate Fundraising Booths: Set up and manage fundraising booths at festival venues, ensuring they are visually appealing, well-stocked with merchandise, and staffed with volunteers.

Engage Attendees: Interact with festival attendees to promote fundraising activities, explain the mission behind the fundraising efforts, and encourage donations.

Manage Donation Collections: Oversee the collection of donations through TipTap system (a digital payment platform).

Monitor Fundraising Progress: Keep track of fundraising goals and progress throughout the weekend, updating the team and event organizers regularly on achievements and areas for improvement.

Coordinate Volunteer Teams: Manage volunteer teams assigned to fundraising activities, providing guidance, support, and training as needed to ensure smooth operations and optimal donor engagement.

Capture Data and Feedback: Collect data on donation amounts, and feedback from attendees to evaluate the effectiveness of fundraising strategies and inform future planning.

Requirements: Prior experience in fundraising is considered an asset.

Time Commitment: 20 hours in June/July/August. Mandatory presence during Festival weekend (August 23rd evening, August 24th and 25th all day).

Family Pride Team Lead

Description

The Family Pride Team Leads will facilitate the realization and operation of the Family Pride Zone for the festival.

Key Activities:

Coordinate with Entertainment: Reach out to various children’s entertainers and book them. Liaise with them leading up to the festival and on the day-of. 

Liaise with Organizations: Coordinate with various partner organizations and ensure they have everything they need on the day of. 

Coordinate Volunteer Teams: Organize Capital Pride volunteers to ensure they all have a task at the Family Pride Zone. 

Manage the Space: Ensure that all supplies have been ordered ahead of time, and ensure they are re-stocked throughout the festival. 

Requirements: Prior experience in event management is considered an asset.

Time Commitment: 10 hours per month June, July, August. Mandatory presence during Festival weekend (August 23rd evening, August 24th and 25th all day).

Parade Team Lead

Description

The Parade Team Leads will help to ensure the smooth operation of the parade itself, including participants and logistics.

Key Activities:

Pre-Parade Planning 

  • Meet regularly with the parade team to discuss logistics and plans for the parade 
  • Help to establish a parade order 
  • Be familiar with organizations registered in the parade 

Day of Parade:

  • Give clear instructions to volunteers and marchers on where to go 
  • Help with street closures 
  • Provide instructions for staging. 

Requirements: Leadership skills and taking initiative are critical in this role

Time Commitment: 5-10 hours a month in June, July, and August. Mandatory on August 25th before and after the parade.

Volunteer Headquarters Team Lead

Description

The Volunteer Headquarters Team Leads will be responsible for the smooth operation of our volunteer headquarters, which will include managing the space itself and assigning tasks to other volunteers.

Key Activities:

Volunteer Coordination: 

  • Assign volunteers to specific tasks and shifts, ensuring adequate coverage for all essential areas.
  • Conduct volunteer orientation sessions to familiarize volunteers with their roles, responsibilities, and event logistics.

Team Management:

  • Lead and motivate the volunteer headquarters team, ensuring clear communication and coordination among team members.
  • Delegate tasks effectively and provide guidance and support as needed.
  • Foster a positive and inclusive team environment, promoting collaboration and teamwork.

Resource Management:

  • Manage inventory and distribution of volunteer supplies, including badges, t-shirts, informational materials, and equipment.
  • Ensure that volunteers have access to necessary resources and information to carry out their duties effectively.

Communication Hub: 

  • Serve as the central point of contact for all volunteer-related inquiries, issues, and feedback.
  • Liaise with other festival teams to communicate volunteer needs, updates, and logistics.
  • Maintain regular communication with volunteers throughout the weekend, providing updates, instructions, and support as needed.

Problem Solving and Support:

  • Address any volunteer concerns, conflicts, or emergencies that may arise during the festival weekend.
  • Provide timely resolution to issues and ensure that volunteers feel supported and valued.
  • Work closely with festival organizers to address any operational challenges and maintain a smooth volunteer experience.

Food and Beverage Team Lead

  • Oversee inventory procurement, including food, beverages, utensils, and equipment.
  • Monitor inventory levels and coordinate restocking as needed during the festival.
  • Manage waste reduction efforts and implement sustainable practices.

Street Festival Team Lead

Description

The Street Festival Team Leads will oversee operations for the street festival from start to finish.

Key Activities: 

Vendor Management:

  • Assign vendor spaces according to layout plans and ensure each vendor is situated appropriately.
  • Address any concerns or issues that vendors may have during the festival.

Volunteer Coordination:

  • Supervise volunteers during the festival, offering guidance and support as needed.

Safety and Crowd Control:

  • Monitor crowd flow and address any safety concerns or incidents that arise.
  • Ensure that all necessary permits and licenses are obtained and displayed prominently throughout the festival area.

Community Engagement:

  • Foster a welcoming and inclusive atmosphere for all attendees, ensuring that the festival is a safe space for everybody.
  • Collect feedback from attendees and vendors to identify areas for improvement and inform future planning efforts.

Cleanup and Post-Event Wrap-Up:

  • Coordinate with volunteers and vendors to dismantle booths, stages, and other festival infrastructure.
  • Ensure that the festival site is left clean and free of debris, coordinating with sanitation crews as necessary.
  • Conduct a post-event debriefing to discuss successes, challenges, and opportunities for improvement, documenting lessons learned for future reference.

Stage Manager

Description

The Stage Managers will be managing operations of staged productions during the festival, including coordinating with organizers and artists.

Key Activities:

Pre-Event Planning:

  • Coordinate with event organizers to ensure artist riders are organized.
  • Liaise with performers, vendors, and technical crew to ensure smooth execution of performances.

Stage Management During Events:

  • Serve as the point of contact for all stage-related matters during Pride events.
  • Manage the stage schedule, cue performers, and ensure smooth transitions between acts.
  • Coordinate with backstage crew and volunteers to assist performers with on-stage props, costume changes, and other needs.
  • Monitor stage performances to ensure adherence to time limits and event guidelines.
  • Address any technical issues or emergencies that arise during performances, implementing contingency plans as necessary.

Requirements: Previous experience is required. 

Time Commitment: 5 hours a month in July and August. Mandatory presence during Festival weekend (August 23rd evening, August 24th and 25th all day).

Weekend Logistics

The Weekend Logistics Team Leads will oversee setup and teardown for the festival, managing festival infrastructure, supplies and information.

Key Activities: 

Coordinate Setup and Breakdown:

  • Oversee the setup and breakdown of festival infrastructure including tents, stages, booths, and signage.
  • Assign tasks to volunteers and ensure efficient execution of setup and breakdown procedures.

Vendor Coordination:

  • Liaise with vendors to ensure they have necessary setup information and assist them during setup.
  • Address any vendor concerns or issues during the festival weekend.

Equipment and Supplies Management:

  • Manage inventory of equipment and supplies needed for the festival.
  • Coordinate with operations staff to ensure timely delivery and setup of required materials.

Volunteer Supervision:

  • Provide guidance and direction to volunteers assisting with logistics tasks.
  • Ensure volunteers are briefed on safety protocols and assigned tasks appropriately.

Communication and Coordination:

  • Maintain open communication channels with festival organizers, operations staff, and other team leads.
  • Relay important information and updates to logistics team members in a timely manner.
