Capital Pride is hiring for the three following positions:

Position Type: Summer Contract
Tuesday, May 20 – Friday, August 29, 2025.

Hours of Work: 35 hours/week

Hours of work are generally between 9am – 4:30pm, with some evening and weekend work required. There is no overtime in this role, so time worked outside of normal office hours will be taken in lieu. The successful applicants must be available for Festival Week: August 16 to August 24, 2025.  

These positions are funded in part by Canada Summer Jobs. As such, applicants must meet the eligibility requirements outlined by the program. They are available at the end of this posting.

Registration and Events Coordinator

Capital Pride is seeking a Registration and Events Coordinator on a short term contract to support the planning and execution of the 2025 Capital Pride Festival. Our ideal candidate is organized, detail-oriented, willing to tackle various logistical projects, and pitch in to support the rest of the team. Most importantly, they are eager to help organize our 2025 Festival, one of the top five largest Pride Festivals in Canada.

Materials: The Registration and Events Coordinator is expected to use a personal laptop and accessories to complete work. Access to required software to be provided by Capital Pride.

Rate of Pay $22 per hour

Reports to: Executive Director 

Place of Work: Hybrid- Monday and Friday the team will work remotely. The Graphic Designer will be expected to work in-office at 403 Bank Street, Ottawa, Tuesday, Wednesday, and Thursday weekly.

Job Description: The Registration and Events Coordinator will assist in the organization of the Capital Pride Festival which takes place in August 2025 by completing the following duties:

Festival Administration

  • Manage the extensive registration process for the Capital Pride Parade and Street Festival including maintaining accurate registration lists, responding to registration inquiries, invoicing and processing payments.   
  • Liaise with the parade and street festival Team Leads throughout the summer to support the organization of each of these two major pieces of the festival.

Event Coordination 

  • Produce materials to communicate schedules to Street Festival and Parade registrants including maps and locations, arrival times, staging area plans, etc.
  • Be the primary point of contact for all registrants
  • Attend site visits to gather information relevant to planning
  • Assist the Executive Director in compiling the parade order and block placements for festival weekend.
  • Manage supplies and equipment inventories and assist with sourcing new supplies for the Festival.

Other

  • Attend events and outreach opportunities as required to promote the Festival and recruit volunteers.
  • Set up and tear down events including: flags, tents, tables, chairs, banners, decorations, etc. 
  • Prepare an end of summer report highlighting your work accomplishments, challenges and suggestions for future festivals especially as it relates to the parade and street festival, and registration process for each.
  • Support other members of the Operations Team with general tasks as they arise.

Qualifications

  • Able to read, write and speak fluently in English. Knowledge of French is a strong asset.
  • Familiarity with Google’s G-Suite including using Google Drive, Docs, Sheets and Forms (or equivalent Office suite).
  • Member of, or ally to, the 2SLGBTQ+ community and a commitment to operating within an anti-oppressive work framework.
  • Knowledge of, and/or experience working or volunteering in, the 2SLGBTQ+ community.
  • Experience in the planning and execution of volunteer run events.
  • Comfortable with public speaking and conducting outreach.
  • Detail oriented and very organized.
  • Ability to exercise good judgment and discretion in busy and occasionally high-stress situations.

Communications Coordinator

The Communications Coordinator must be fluent (able to read and write) in both French and English. Applicants selected for interview will be asked to complete a proficiency test

Job Description: The Communications Coordinator will assist in the organization of the Capital Pride Festival which takes place in August 2025. Job duties will include:

Communications

  • Manage internal and external communications plans for the festival, including writing advertisements, brochures, campaign materials and website copy in French and English.
  • Monitor the internal and external environment to identify communications opportunities, challenges, and issues.
  • Regularly review Capital Pride’s current communication plan to ensure goals and objectives are met, consulting with the Executive Director as needed to make any amendments or adjustments.
  • Write press releases, coordinate media events such as press conferences, campaign launches, etc.
  • Regularly review and update of content on Capital Pride’s website for the festival.
  • Maintain communication standards in line with a consistent image, and adhere to internal standards.

Social Media

  • Monitor social media pages, blogs and press releases for content opportunities and initiate conversations on behalf of the organization.
  • Create and populate content calendars weekly for Executive Directors approval.
  • Create timely and engaging content in French and English optimized for each platform and intended audience, including researching, writing and designing content.
  • Manage/update social media platforms including Facebook and Instagram daily to engage with users and respond to inquiries.
  • Manage the deployment of the festival promotion plan on socials, including liaising with partner organizations and paid advertising.
  • Develop analytic reports defining the reach and engagement for each account monthly.
  • Work creatively with the Graphic Designer to ensure fresh content and follow the content calendar.

Other

  • Prepare a report following the Festival that includes a summary of all communications materials, media mentions and social media strategy.
  • Set up and tear down events including: flags, tents, tables, chairs, banners, decorations, etc. 
  • Assist with the planning of various event components, including guestlist and invitations, liaising with photographers and videographers, and marketing to support the rest of the Operations Team.

  • Able to read, write and speak fluently in English and French.
  • Familiarity with Google’s G-Suite including using Google Drive, Docs, Sheets and Forms (or equivalent Office suite).
  • Member of, or ally to, the 2SLGBTQ+ community and a commitment to operating within an anti-oppressive work framework.

Graphic Design

  • Develop a range of graphic design products for digital distribution and print publication, including maps, social media shareables, posters, banners, festival site signage, and other materials as required.
  • Develop designs for distribution by partner organizations. 
  • Produce the 2025 Pride Guide.
  • Develop the theme, logo, and branding for the 2025 summer festival.

Planning and Organization 

  • Create a graphics request process to manage intake of all graphics needs for the 2025 summer festival.
  • Assist in the procurement of printed and physical assets after graphic design is complete.
  • Work with the Communications Coordinator to develop a communications calendar in order to identify and manage graphic deliverables. 
  • Maintain final graphics work, source files and materials in an organized and orderly manner on the Capital Pride Google Drive.
  • Collaborate with the Festival Administrator to collect and manage display of partner logos.
  • Assist with maintaining the Capital Pride website, including updating content and developing required graphic materials.

Other
