Capital Pride is seeking a Festival Administrator on a five-month contract to support the planning and execution of the 2025 Capital Pride Festival. Our ideal candidate is organized, detail-oriented, willing to tackle various logistical projects, and pitch in to support the rest of the team. Most importantly, they are eager to help organize our 2025 Festival, one of the top five largest Pride Festivals in Canada.
Position Type: Summer Contract (5 months)
Monday, March 31 – Friday, August 29, 2025.
Hours of Work: 35 hours/week
Hours of work are generally between 9:30am – 5pm, with some evening and weekend work required. There is no overtime in this role, so time worked outside of normal office hours will be taken in lieu. The successful applicant must be available for Festival Week: August 16 to August 24, 2025.
This position may be funded in part by Canada Summer Jobs. As such, applicants must meet the eligibility requirements outlined by the program. They are available at the end of this posting.
Rate of Pay $22 per hour
Reports to: Executive Director
Place of Work: Hybrid- Monday and Friday the team will work remotely. The Festival Administrator will be expected to work in office at 403 Bank Street, Ottawa, Tuesday – Thursday weekly.
Job Description: The Festival Administrator will assist in the organization of the Capital Pride Festival which takes place in August 2025 by completing the following duties:
Festival Administration
- Support the Executive Director in managing the registration processes for various aspects of the summer festival.
- Manage the online Community Events Calendar including liaising with community groups, managing registration process and maintaining online listings.
- Collect materials from stakeholders to support the Graphic Designer in creating the Pride Guide.
- Assist with the coordination of artist travel and accommodation and onsite requirements.
- Support the volunteer program, including assisting with volunteer sign-up, training, and outreach activities, as required.
- Assist with the coordination of the festival sponsorship program including liaising with sponsors, maintaining accurate records, tracking deliverables, and preparing post-event reporting.
- Manage in-kind sponsorship including working with the team to identify in-kind product requirements and soliciting, tracking and documenting donations.
Event Coordination
- Assist with the coordination and operations of various events throughout the summer and during the Festival including the youth prom, co-branded community events, media launch, sponsor reception, family and youth events, pride pageant, festival weekend, and parade.
- Attend events and outreach opportunities as required to promote the Festival and recruit volunteers.
- Manage event ticketing pages, invitations, and guest lists.
Logistics and Planning
- Assist with meeting coordination, scheduling, and general office coordination.
- Monitor the festival’s general email inbox and phone line and respond to inquiries as required.
- Assist the production team with logistics related to programming including artist travel and accommodation bookings, managing contract signing processes, and tracking artists’ technical requirements.
- Manage supplies and equipment inventories and assist with sourcing new supplies for the festival.
- Assist with administrative and logistical tasks throughout the summer to support the overall successful staging of the 2025 festival.
Other
- Prepare an end of summer report highlighting work accomplishments, challenges and suggestions for future festivals, especially as related to programming and sponsorship.
- Support the Operations Team with general tasks as they arise.
Qualifications
- Able to read, write and speak fluently in English. Knowledge of French is a strong asset.
- Familiarity with Google’s G-Suite including using Google Drive, Docs, Sheets and Forms (or equivalent Office suite). Experience with Google Sheets especially is a strong asset.
- Member of, or ally to, the 2SLGBTQ+ community and a commitment to operating within an anti-oppressive framework.
- Knowledge of, and/or experience working or volunteering in, the 2SLGBTQ+ community.
- Experience in the planning and execution of volunteer run events.
- Comfortable with public speaking and conducting outreach.
- Detail oriented and very organized.
- Ability to exercise good judgment and discretion in busy and occasionally high-stress situations.
